TYPES OF INFORMATION WE COLLECT
The information we collect via the Site falls into two categories: (1) information that you voluntarily provide; and (2) anonymous information that may be automatically collected for purposes of Site management and operation. This information may be collected directly by us, or it may be collected by our third party website hosting provider, or another service provider, on our behalf. No personally identifiable information (such as your name, address, email address, or telephone number) is automatically collected via our Site; personally identifiable information about Site users is collected only when it is knowingly and voluntarily submitted by our users.
Information You Voluntarily Provide To Us
We may collect and store information, personal or otherwise, that you voluntarily supply to us while on our Site or in communicating via email in connection with a feature provided on our Site. Some examples of this type of information include information that you electronically submit when you contact us with questions, request email updates, or participate in surveys, and information that you post on message boards or other community posting areas on our Site. We may also ask for information (including a credit card number) from those who pay for an ONA membership, register for a conference, workshop or other event, or conduct other transactions on our Site.
Also, each year, ONA recognizes outstanding online journalism through its Online Journalism Awards (“OJA”). If you submit your OJA entry online via the Site, you'll be asked to provide information about yourself (such as your name, address and email address) so that we can contact you about your entry.
The information you supply will help us provide the product or service requested, process your application or entry, offer you more personalized features, and tailor the Site to your interests. Supplying such information is entirely voluntary. However, if you choose not to supply the information requested, we may be unable to provide you with services made available to other users of our Site.
Information That Is Automatically Collected
We also may collect and store information that is generated automatically as you navigate through our Site. For example, our Site’s servers automatically collect limited information about your computer's connection to the Internet, including your IP address. The IP address is a number that lets computers attached to the Internet know where to send data - such as the web pages users view. Your IP address does not tell us who you are. We use this information to deliver the Site’s content to you upon request and to measure traffic within the Site. Our Site’s servers also may log information such as the type of web browser software you use to access the Site, the operating system running on your computer, the speed of your computer’s CPU, and the web pages you visited immediately before and after you visited the Site, for purposes of measuring traffic patterns on the Site and the usage of Site services and features and optimizing the Site to accommodate our users. This information is not correlated with any personally identifying information you may provide.
If you select the “Remember Me” option when you log in to access the Member Areas of our Site, we will use a standard feature of browser software called a "cookie" to store your username and password so that you will not need to log in the next time you visit. Of course, you are free to set your web browser not to accept cookies; however, doing so may render your computer unable to take advantage of the “Remember Me” feature and possibly other personalized features enjoyed by other users of the Site.
USE AND DISCLOSURE OF INFORMATION
As indicated above, we may use the information that you provided to us, and that is automatically collected as you use our Site, in a variety of ways, including, but not limited to, for purposes of processing your registration or membership request, providing you with a product or service you have requested, sending you RSS feeds you have requested, sending you email updates and other communications, customizing features that appear on the Site, delivering our Site content to you, measuring Site traffic and improving the Site and the services and features offered via the Site.
You agree that we may use any information submitted by or collected from you via the Site for any purpose related to the Site, including to contact you for customer service purposes, to inform you of important changes or additions to our Site or the services offered over our Site, and to send you administrative notices and any other communications that we believe may be of interest to you.
If you are a registered member of the Site, there are certain email updates that you can turn “on” or “off” as part of your profile preferences. To control these email updates, log in to the Site, click on the “My Preferences” link and check or uncheck the boxes to indicate which email updates you wish to receive.
If you are a registered user of our Site, you may review and edit your user profile information. (Instructions on how to do so may be found under the heading “Modifying Your Information and Privacy Preferences,” below.) All information you include in your user profile will be visible to Site administrators. In addition, registered users of the Site will be able to view the information you enter as part of the Site’s ONA Member Directory unless you uncheck the applicable box(es) next to the information that you wish to keep private. (Note that if you uncheck the box next to your "Email Address" on your profile form, your email address will not be displayed, but other Site members will still be able to contact you by email through the Site's email system.)
We may share visitor information with third parties working on our behalf. For example, we share visitor information with the vendors that assist us in accepting membership applications and conference registrations online or that help us administer our conferences. Our vendors may collect credit card information you provide in conjunction with the registration process. Our vendors have agreed not to share such personal information or to use it for purposes other than those for which we provide the information to those vendors. We also may use the information we collect to communicate with our members and/or former members, and on occasion, we may share such information with organizations and/or companies that wish to communicate with our members and/or former members for purposes that we believe are in keeping with ONA's basic mission.
If you submit an entry for our Online Journalism Awards, we may share your entry information with any co-sponsor of the awards (identified in the rules). If you don't want us to collect the information requested in the OJA registration form or to provide it to our co-sponsor, please do not submit an OJA entry.
Please also keep in mind that whenever you voluntarily make your personal information available for viewing by third parties online – for example in discussion forums or other community posting areas of the Site – that information can be seen, collected and used by other Site users. We cannot be responsible for any unauthorized third party use of such information.
Please also note that in the unlikely event that ONA or substantially all of ONA’s assets are acquired by another organization or company, information about our visitors may be among the transferred assets.
To our international members, please recognize that the information that is collected via the Site will be stored and processed in the United States. By using the Site, you consent to the transfer of such information outside of your country.
This Site is not directed to children under the age of 13 and we do not knowingly collect personally identifiable information from children under the age of 13. If we become aware that we have inadvertently received personally-identifiable information from a user under the age of 13, we will delete such information from our records. Because we do not collect any personally identifiable information from children under the age of 13, we also do not knowingly distribute any such information to third parties. We do not knowingly allow children under the age of 13 to publicly post or otherwise distribute personally identifiable contact information.
MODIFYING YOUR INFORMATION AND PRIVACY PREFERENCES
If you are or become an ONA member and you register on the Site, you will have the opportunity to review, update, change or delete the information you have provided us (and that we continue to store) at any time. If you remove your registration information completely, you may not be able to continue using certain services that require registration. To review, update, change or delete your membership or registration information, log in to the Site and click on the “Edit Profile” or “Edit Account” links, as applicable.
You may also control certain privacy features on our Site, such as whether other registered members can view your profile information. To set your privacy preferences, log in to the Site and and click on the “Edit Profile” link, then click on the “Privacy Settings” link.
STORAGE OF INFORMATION
All information gathered on our Site is stored within a database to which only ONA and its hosting services provider are provided access. However, as effective as the reasonable security measures implemented by us may be, no physical or electronic security system is impenetrable. We cannot guarantee the security of our Site’s servers or databases, nor can we guarantee that information you supply will not be intercepted while being transmitted to us over the Internet.
